The importance of visit reports
These documents are of utmost importance in the relationship between franchisors and franchisees. This document is essential because visits are part of the obligations of the head office in supporting the franchisee in the rollout of the concept. As this is a requirement, we recommend that each field consultant and, ultimately, the franchisor be able to prove every visit. Thanks to the visit reports and their summaries, you can confirm that the visit took place and indicate its date. Therefore, it is advisable to have this document signed by the franchisee.
It is also useful, in the event of a dispute with the franchisee, to be able to prove their failure to comply with the concept or actions that may have affected them.
The role of the field consultant is not limited to visits. Franchisees can contact them at any time throughout the year to benefit from their expertise and ensure compliance with the brand’s concept.

The new audit modules now make it possible to schedule a visit to a franchisee (the calendar is visible to the network director), view the report template, notify or not the site manager, and define the theme of the selected visit report. The types of data that can be included in the visit report have increased, making it easier and faster to add numerical data. They also allow you to create comment or task templates / action plans to save time during the visit. The reports include a signature field for the site manager and, most importantly, provide space for comments and exchanges between the different users involved.
The goal is to organize dialogue and action plan follow-up as effectively as possible in order to professionally support the site manager, franchisee, or branch manager.
