A visit report should not be limited to providing a snapshot of a single location. It should allow the franchisor to have a comprehensive overview of the entire network.

Let’s start with a preliminary remark: to carry out an analysis of visit reports, the head office must perform a complete configuration of its audit forms beforehand. Indeed, once finalized, these forms contain a wealth of data which, when fully leveraged, provide a comprehensive snapshot of the franchisor’s entire network at a given moment, for a specific topic. 

Once this valuable data has been collected, it is essential to be able to extract key information clearly and effectively. For this purpose, the use of statistical tools is a real asset. They allow you to gain an overall view of the forms, as well as a detailed breakdown of the questions, and therefore provide an accurate report and precise monitoring of how well your franchisees master various key topics.

  

In the first part of this three-article series on visit reports, you learned how to finely configure your field visit forms. Now, discover the second part, which focuses on adding statistical tools to your audit forms!  

This new section gives you general data on a form, providing a quick snapshot of how well a topic is mastered across your locations. For example, you can see at a glance which points of attention may require additional actions, which aspects are best mastered by your franchisees, or even which forms have not yet been implemented in certain locations.

Always with the goal of making full use of your visit reports’ potential, this section gives you access to statistics on a selected form based on a period you have defined. It is also possible, thanks to the filters, to choose the locations, groups of locations, or field managers that interest you for this form.

This statistics section is made up of three tabs — let’s analyze them together:

      • The average of all your locations on a form and the distribution of ratings for each question
      • A top 3 of the best and worst locations and questions 
  • 📊 Details: A detailed report for each question of the form of your choice

      • The average of each location for a question 
  • 🏢 List of locations: The average of each location on a selected form

The statuses of visit reports

Always with the goal of making full use of your visit reports’ potential, this section gives you access to statistics on a selected form based on a period you have defined. With an overview for the form of your choice, the tab provides details on the number of reports and the number of locations concerned by that same form. It also specifies the statuses of the reports found.

This information is followed by the average, as well as the minimum and maximum scores obtained for your form. A pie chart complements these results by showing the distribution of ratings for the different questions.

A top 3 of the best and worst locations and questions

Still in the same tab, 🏢 Locations shows you the establishments that received the best and worst scores on the same form.

Note that this display may change depending on the amount of data. If the number of data points is limited, only the location with the highest score and the one with the lowest score will be shown. Conversely, if a large amount of data is available, you will see a top 3 of the locations with the best scores and a top 3 of the locations with the worst scores.

The second tab, 📊 Details, presents all the questions of the form in detail. First, you can see the average score obtained by the locations for each category.

If you want to know more, simply click on the + at the top right of each category to view its details. The questions included in the category you expanded will then be displayed.

Once the category of your choice is expanded, you gain access to additional information about the questions and the locations.

In this interface, two new tabs are available to you. The first one is ⚫ Summary, which displays bar charts showing the distribution of scores for a given question, as well as the average score obtained for that question across all relevant locations.

The second tab shows you the 🏢 List of locations, including the number of visit reports per location, as well as each location’s individual average for that question.
