Even more effective visit reports (part 1/3)
In addition to helping the franchisee develop their business to its full potential, visit reports are above all a valuable source of data for the franchisor. Once analyzed, this data allows the head office to have an overview of how well franchisees master various key topics and also serves as a reliable indicator of the condition of a location at a given time.
The insightful analysis of these reports cannot be carried out without a complete preliminary setup of the audit forms and the use of statistical tools. It also requires an intuitive interface for a quick and clear understanding of this data. To this end, Cerca continuously works with its clients to develop increasingly relevant tools that address ever more concrete challenges.
Fine-tune your visit report forms even further
Deciding on the seasonality of a form, setting access for one or several user groups, or scheduling reminders to never forget a single animation visit again — these are some of the new features included in the visit report form editor.

Never forget a single one of your audits thanks to visit reminder notifications
Animation visits are part of the network head’s obligations. It is essential to ensure that none are forgotten and that the field coaches and animation managers are always notified in advance to organize them in the best possible way.
These 🔔 Reminders for visit obligations allow you to schedule notifications based on their frequency — whether daily, monthly, or yearly — and to notify your field coaches and animation managers before their due dates.
Note that visit reminders for a location are always based on the most recent audit date. To give a concrete example: if in February you schedule an audit on the 1st of the month, the following month you will receive a visit reminder for March 1st. However, if in March you decide to postpone this audit and it takes place on March 3rd, then in April you will receive a notification to carry out your audit on April 3rd instead of April 1st.
To activate this feature, it’s very simple: just check ☑️ Enable visit obligation, then specify the required number of visit obligations per day, month, or year, as well as the number of days before the visit you wish to notify your field coaches and animation managers.
Network coaches and animation managers will be notified by email X days before the audit date, but they will also be able to find this information on the visit report page for the relevant location.
Forms visible by seasonality
In this tab, you can configure the availability of a form for specific dates. To do so, check the box ☑️ Enable in the section 📅 Period. This allows you to choose from which date a particular form will be available. Note that it is not mandatory to enter an end date if it is not needed.
However, if you add an end date, you will find this information while editing a visit report for a location or during the configuration of a form.
Define specific access rights for your users and your forms
In 👁️ Visibility, you can now configure access to your different forms. This new feature allows you to precisely decide which system groups have access to a specific form. You can also define that certain visit reports will only be available for specific locations or groups of locations.
Schedule reminders for your franchisees to sign visit reports
Thanks to the 🔔 Reminders, notify your franchisees that the form for the latest visit report has not yet been signed. Simply select a number of days after the completion of the audit to remind your franchisee to add their signature to this document. Of course, it’s possible to schedule multiple reminders.
